We are seeking a talented individual to join our Operations team at Marsh. This role will be based in Mumbai. This is a hybrid role that has a requirement of working at least three days a week in the office

Specialist – Insurance Operations (Grade – C1)

Proof of Insurance Coordinator is responsible for managing the end-to-end renewal process of insurance certificates (e.g., COIs, certificates of liability, workers’ compensation). This role ensures timely renewals, accuracy of policy details, compliance with contractual and regulatory requirements, and proactive communication with internal stakeholders, vendors, and clients.

We will count on you to:
  • Manage and track renewal timelines for all insurance certificates
  • Maintain renewal calendars and ensure on-time issuance
  • Prioritize high-risk or high-visibility certificates
  • Verify policy details and ensure accuracy
  • Confirm insurer, policy type, coverage limits, expiration dates, named insured, and additional insured language
  • Ensure certificates meet contractual requirements (e.g., client-specific forms, endorsements)
  • Coordinate with internal departments
  • Collaborate with Legal, Risk Management, Procurement, and Project Managers to gather required information
  • Liaise with Finance for premium and billing details if needed
  • Communicate with insurers and certificate providers
  • Request, obtain, review, and secure renewed certificate
  • Resolve discrepancies or coverage gaps with underwriters
  • Ensure compliance and documentation
  • Maintain complete audit trails, version control, and centralized repository for all certificates
  • Ensure adherence to company policies, regulatory requirements, and client contractual obligations
  • Issue and distribute certificates
  • Deliver COIs to clients, vendors, project sites, and internal stakeholders via preferred channels (e.g., email, portal, or secure file transfer)
  • Confirm receipt and resolve any non-delivery issues
  • Identify potential renewals at risk of non-renewal and implement remediation plans
  • Escalate delays or coverage issues to appropriate leadership
  • Data management and reporting
  • Maintain accurate certificate data in the Certificate Management System (CMS) or equivalent
  • Generate regular reports on renewal status, aging certificates, and exception item
  • Process improvement
  • Develop and implement standard operating procedures (SOPs) for certificate management
  • Identify opportunities to automate repetitive tasks and improve accuracy
  • Client service and stakeholder management
  • Provide timely, professional communication to clients, vendors, and internal teams
  • Answer inquiries regarding certificate requirements and coverage details

  • What you need to have:
  • Education: Bachelor’s degree in business, Risk Management, Insurance, or related field; or equivalent work experience
  • Experience: 2+ years in insurance, risk management, or certificate management
  • Knowledge: Understanding of commercial general liability, professional liability, workers’ compensation, and other common policies
  • Familiarity with COIs and endorsements, including additional insured and waiver of subrogation language
  • Skills: Strong attention to detail and data accuracy
  • Excellent organizational and time-management abilities
  • Proficient in MS Office (Excel, Word, Outlook); experience with a Certificate Management System (CMS), ERP, or CRM is a plus
  • Strong written and verbal communication skills
  • Ability to work cross-functionally and manage competing priorities
  • Problem-solving and analytical thinking
  • Detail-oriented with a high level of accuracy

  • What makes you stand out
  • Certification in risk management, insurance, or governance (e.g., CPCU, ARM) a plus
  • Experience with contract management or vendor management
  • Familiarity with e-signature and secure document delivery platforms
  • Multilingual capabilities (optional, depending on client base)
