Job Title: Personal Assistant to the Principal

Job Summary: The Personal Assistant (PA) to the Principal provides high-level administrative and secretarial support to ensure the smooth and efficient operation of the Principal’s office. The PA serves as the first point of contact for internal and external stakeholders and maintains confidentiality, professionalism, and strong organizational skills at all times.

Key Responsibilities:1. Administrative Support
  • Manage the Principal’s calendar, schedule appointments, meetings, and events.
  • Prepare and draft correspondence, reports, memos, and presentations.
  • Handle incoming and outgoing communications (emails, calls, letters).
  • Maintain filing systems (electronic and physical records).

  • 2. Meeting Coordination
  • Organize staff meetings, board meetings, and parent meetings.
  • Prepare meeting agendas and take accurate minutes.
  • Follow up on action items and deadlines.

  • 3. Communication & Liaison
  • Act as a liaison between the Principal and staff, students, parents, and external stakeholders.
  • Respond to inquiries professionally and direct issues appropriately.
  • Coordinate with department heads and administrative staff.

  • 4. Confidentiality & Record Management
  • Handle sensitive information with strict confidentiality.
  • Maintain student and staff records as required.
  • Ensure compliance with school policies and procedures.

  • 5. Event & Project Support
  • Assist in organizing school events, workshops, and official functions.
  • Support special projects assigned by the Principal.
  • Coordinate travel arrangements if required.

  • 6. Office Management
  • Monitor office supplies and maintain inventory.
  • Ensure the Principal’s office operates efficiently.
  • Supervise front-desk or administrative staff when necessary.

  • Qualifications & Skills:
  • Bachelor’s degree or diploma in Business Administration, Education, or related field.
  • Proven experience as a Personal Assistant, Executive Assistant, or Administrative Officer.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and work under pressure.
  • High level of integrity and confidentiality.
