Job Title: Executive Secretary

1. Overview:
The Executive Secretary serves as a key administrative support role within the organization, responsible for facilitating effective communication and coordination among various stakeholders. This position aims to streamline administrative processes, enhance productivity, and support the executive team in achieving organizational goals.


2. Key Responsibilities:

  • Manage and coordinate executive schedules, appointments, and travel arrangements.

  • Prepare and organize meetings, including agenda creation, minutes taking, and follow-ups on action items.

  • Draft, edit, and proofread correspondence and documents, ensuring clarity, accuracy, and confidentiality.

  • Maintain organized filing systems for both physical and electronic documents, ensuring easy retrieval of information.

  • Assist in the preparation of presentations and reports, leveraging data and analytics as necessary.

  • Liaise with internal teams and external clients, providing exemplary customer service and support.

  • Conduct research and compile data to assist with decision-making processes.

  • Monitor and manage communications, ensuring timely responses to inquiries and correspondence.


3. Technical Skills:

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) for document preparation and data analysis.

  • Familiarity with office management software and the ability to learn new tools quickly.

  • Competency in scheduling software and project management tools.

  • Skills in documentation management systems for efficient record-keeping.


4. Required Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or a related field.

  • Minimum of 3 years of experience as an executive secretary or in a similar administrative role.

  • Proven track record in supporting executive-level staff and managing high-stakes environments.


5. Skills & Experience:

  • Advanced proficiency in Excel for data analysis, reporting, and financial tracking.

  • Excellent communication skills, both written and verbal, with the ability to effectively interact with diverse audiences.

  • Strong documentation skills, ensuring accuracy and clarity in all forms of communication.

  • Demonstrated organizational skills and attention to detail, with the ability to manage multiple priorities effectively.
