Job Title: Admin Executive
Location: Surat Office

Reporting To: Lal Darwaja , Surat

Job Summary:

We are looking for a proactive and detail-oriented Admin Executive to manage and oversee the day-to-day administrative and facility operations of our Surat office. The ideal candidate will ensure smooth office functioning, maintain infrastructure, coordinate with vendors, and support travel, logistics, and event management activities.

Key Responsibilities:

1. Office & Infrastructure Management
  • Oversee daily office operations and facility management.
  • Coordinate office maintenance, seating arrangements, utilities, and infrastructure requirements.
  • Liaise with building management and external service providers.
  • Ensure office safety, cleanliness, and hygiene standards are maintained at all times.

  • 2. Inventory & Asset Management
  • Maintain records of office inventory including furniture, stationery, pantry items, and other consumables.
  • Monitor stock levels and place purchase orders as required.
  • Manage vendor quotations, purchase orders, and invoices related to administrative purchases.
  • Maintain updated asset records and documentation.

  • 3. Travel & Logistics Management
  • Coordinate employee travel arrangements including flights, hotels, local transport, and travel documentation.
  • Manage travel bookings, cancellations, and reimbursements.
  • Support visa processing and travel coordination when required.

  • 4. Housekeeping & Support Staff Coordination
  • Supervise housekeeping staff, pantry staff, security, and other support personnel.
  • Manage staff schedules, attendance, and ensure service quality.
  • Ensure proper upkeep and maintenance of office premises.

  • 5. Courier & Dispatch Management
  • Handle incoming and outgoing courier and postal services.
  • Maintain courier records, tracking details, and delivery confirmations.
  • Coordinate with courier vendors for timely dispatch.

  • 6. Event & Meeting Coordination
  • Plan and coordinate office events, celebrations, training sessions, and town halls.
  • Arrange meeting rooms, refreshments, logistics, and vendor support.
  • Coordinate with internal teams to ensure smooth event execution.

  • 7. Vendor & Compliance Management
  • Identify, onboard, and manage administration-related vendors.
  • Ensure timely renewal of contracts and service agreements.
  • Maintain administrative documentation and compliance records.

  • Required Skills & Competencies:
  • Strong organizational and multitasking skills.
  • Good communication and vendor management abilities.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Ability to handle multiple responsibilities independently.
  • Attention to detail and problem-solving skills.

  • Qualification & Experience:
  • Bachelor’s degree in any discipline.
  • 2–5 years of experience in administration/facility management (preferred).
  • Experience in corporate office administration will be an added advantage.
