Job Title: Admin Executive – Warehouse

Department: Admin

Reports To: Admin Head

Job Purpose

The Admin Executive (Warehouse) is responsible for managing, organizing, and controlling all preschool supplies, learning materials, furniture, and inventory to ensure smooth daily operations of Kidzonia Preschool. The role ensures that all materials required for classrooms, activities, and events are available, safe, and well-maintained.

Key Responsibilities:

1.Inventory & Warehouse Management

Maintain accurate records of all preschool inventory including toys, learning materials, stationery, furniture, uniforms, and cleaning supplies

Receive, inspect, label, and store incoming materials properly

Issue materials to classrooms and departments as per approved requests

Monitor stock levels and inform management of low or fast-moving items

Conduct periodic physical stock verification and reconcile discrepancies

2.Procurement & Vendor Coordination

Assist in raising purchase requisitions for required materials

Coordinate with vendors for deliveries and follow up on pending orders

Verify invoices and delivery notes against received goods

3.Record Keeping & Documentation

Maintain inventory registers, stock movement logs, and warehouse records

Ensure proper filing of purchase orders, invoices, and delivery challans

Update inventory data in manual or digital systems regularly

4.Safety, Hygiene & Compliance

Ensure safe storage of materials, especially child-safe toys and supplies

Maintain cleanliness and organization of the warehouse area

Follow preschool safety, hygiene, and quality standards

Report damaged, expired, or unsafe items immediately

5.Coordination & Support

Coordinate with teachers and admin staff for timely supply distribution

Support school events, activity days, and celebrations with required materials

Assist in annual audits and inspections related to inventory

Skills & Competencies

Good organizational and inventory management skills

Basic computer knowledge (MS Excel, inventory software)

Attention to detail and accuracy

Ability to work independently and as part of a team

Good communication and coordination skills

Qualifications & Experience

Minimum: High School / Diploma (Bachelor’s degree preferred)

1–3 years of experience in warehouse or inventory administration

Experience in schools, preschools, or child-centric environments is an advantage
